Paper Preparation

Requirements

A completed electronic submission is due prior to the published deadline. A complete submission will include the following:

  1. Completion of submission page required fields
  2. 35-word Abstract
  3. 3-page Paper
  4. Copyright Agreement
  5. OCIS Codes
  6. Presentation Preference

Adherence to the instructions for preparation of the abstract and summary is imperative. Emailed or faxed submissions will not be accommodated. Failure to complete any of the preceding requirements may result in rejection of a paper. Registration and submission for Technical Sessions is open to all members of the scientific and technical community. It is incumbent on the authors to obtain appropriate approval to present their work to this international forum.

Peer Review

This topical meeting contains high-quality submissions that undergo a peer-review conducted by the members of the Technical Program Committee. The results of the peer review translate into paper selections and topic-driven technical sessions for this conference. Results from that meeting will be sent by OSA Technical Papers staff via email to all authors. If a paper is accepted, the summary, including illustrations, will be reproduced directly by photo offset from the material submitted by the author(s) and will be published in the Technical Digest.

Best Student Paper Award

The ASSP Best Student Oral Paper Award was established in 2001 to encourage excellence in research and scientific presentation skills in the student optics community. The award is sponsored by Lockheed Martin Coherent Technologies and includes a $1000 cash prize and a plaque.

There will also be a competition for the ASSP Best Student Poster Paper Award. The recipient of this award will be presented with a $500 cash prize and a certificate. Students submitting contributed papers who desire to compete for these awards must indicate this intention when submitting the paper. Papers actually presented by advisors or other non-students will not be scored.  Student papers accepted for oral presentation will be scored by the ASSP Technical Program Committee with the scores weighted according to the following formula: technical content (50%), oral presentation quality and general poise (25% with no penalty for non-native English speakers) and graphical presentation quality (25%). Student papers accepted for poster presentation will be scheduled in a "Young Scientist Poster Session" and scored according to the same formula as the oral papers. ASSP attendees are highly encouraged to participate in this session to provide feedback to the students and encourage their work.

In order to be considered for this award, you must indicate in your submission record whether or not you are a Student Member or a Student Nonmember. You must also indicate whether or not you wish to be considered for this award. If you do not complete these two steps, your paper will not be considered for these awards.

Style Guide

This style guide is a reference for all submitting authors and has remained consistent with past years’ Technical Digest format and style.

Please make sure that your paper contains no non-English font packages (for example, Japanese fonts, Korean fonts, Chinese fonts, etc.) in the body of your paper summary as well as in all figures and tables. Any characters in these fonts cannot be seen by reviewers. In the past, we have had particular trouble with MS-PGothic, MS-Gothic and MS-Mincho.

Requirements

35-word Abstract This abstract should be a brief summary of the paper topic. If the paper is accepted, this 35-word abstract will be included in the Conference Program.

3-page Paper The three-page paper is a summary of the author’s work and will be reproduced directly from the material submitted for the conference Technical Digest. The style guide provides a visual representation of the paper format. The summary should not exceed three pages and must be typed with the page layout set to 8 ½-inch x 11-inch page and with 1-inch margins on all sides. Within three pages, the author must include all text, including the 35-word abstract, title, authors, equations, drawings, tables, photographs, figures, and references. The text may be typed either single or double-spaced.

The title of the talk and the primary author’s name, affiliation, address, telephone and fax numbers, and email address must appear on the first page with all additional authors and their affiliations. The 35-word abstract should be repeated in the summary. Refrain from the use of asterisks, acknowledgments, job descriptions or footnotes. Cite references at the end of the summary. 

Copyright Agreement The submission form incorporates an electronic copyright transfer agreement as part of your submission. No additional mailed documentation is required.

OCIS Codes As part of the submission process, authors will be asked to indicate which of the several broad optics categories best characterizes their papers.

Presentation Preference The options for this conference are oral only, oral preferred, poster only and poster preferred.
