Important information regarding Topical Meeting Visa Invitation Letters (please read):
Invitation letters take OSA Management 7-10 days to process. Please fill out all the required information on the form completely to the best of your ability. If you are presenting a paper, include the title and session in which the paper will be presented, or if you are exhibiting, please indicate so in your request. Please note that each individual requesting an invitation letter must fill out a separate form. All letters will be sent in PDF form to the email address provided. If a paper letter is required, please respond to the email. Requested paper letters will be sent complimentary through airmail. This option may take a few weeks to arrive. If you wish to expedite the process, letter will be spent through Federal Express with the recipient’s Federal Express account number or credit card number with an expiration date, please also include your billing address in the request email. OSA Management reserves the right to request further information regarding the company or affiliation of the attendee to ensure the validity of requests.

Meeting attendees do not need to wait until your paper is accepted to request a Visa Invitation Letter.

Optical Interference Coatings Letter of Invitation Request Form

The visa application process to enter the United States has become subjected to greater degrees of scrutiny than in the past. For this reason, the application process can take up to six months or more. You will need to apply for your visa as early as possible but no later than three months before you wish to enter the United States. One factor contributing to the increase in the processing time is a personal interview that is now required for most applicants as a standard part of visa processing. Once it is known that a visa is necessary for travel, the individual needs to contact the embassy or consulate to schedule an appointment for screening. OSA is not able to contact U.S. embassies in support of an individual attempting to gain entry into the host country to attend the conference.

Electronic System for Travel Authorization (ESTA)

As of 12 January 2009, all nationals and citizens of Visa Waiver Program (VWP) countries will be required by law to obtain a travel authorization prior to initiating travel to the United States under the VWP. This authorization may be obtained through the Electronic System for Travel.
 

Passport Requirements and Border Information

The Western Hemisphere Travel Initiative (WHTI) is new U.S. legislation that requires all travellers carry a valid passport or other appropriate secure document, or combination of documents that establish citizenship and identity when travelling to the United States from within the Western Hemisphere.

Since January 23, 2007, anyone travelling by air between the United States and Canada is required to present a valid passport or NEXUS card (when used at designated airports) to enter or re-enter the United States.

As of June 1, 2009, a valid passport OR one of the following documents is mandatory for any person over the age of 16 travelling between the United States and Canada by LAND or SEA/WATER (including cruises and ferries):

  • U.S. Passport Card (not valid for international air travel)

  • A NEXUS or FAST/EXPRES Card

  • State or Province-issued Enhanced Driver’s License (not valid for international air travel)

As of June 1, 2009, U.S. and Canadian citizens under the age of 16, or under the age of 19 if travelling with a school, religious, or other youth group, may present a birth certificate, Consular Report of Birth Abroad, Canadian Citizenship Card or a naturalization certificate. Birth certificates can be an original, photocopy, or certified copy.
 

What is NEXUS?

NEXUS is a joint program between the Canada Border Services Agency (CBSA) and U.S. Customs and Border Protection (CBP) that expedites the border clearance process for low-risk, pre-approved travellers into Canada and the United States.

How do I get a NEXUS card?

To become a member in the NEXUS program, you must submit an application and go through a registration process, satisfy the eligibility criteria, be admissible in Canada and the United States, and pass risk assessments by both countries.

If you are approved to participate in NEXUS, you will receive a membership identification card to use when entering Canada or the United States at all participating NEXUS air, land and marine ports of entry.

International Visitors

Persons visiting from countries other than the United States may require visitor visas. Check with the nearest Canadian Consulate well in advance of travel. A list of applicable countries can be found here. Other regulations apply if an extended stay, work or certain types of business activity are contemplated.

As of July 16, 2009, Mexican visitors require a Temporary Resident Visa to enter Canada. Please apply at the Canadian Embassy in Mexico City.

 

Crossing the Canadian Border with Children

  • Parents who share custody of their children should carry copies of the legal custody documents. It is also recommended that they have a letter of authorization from the other custodial parent to take the child on a trip out of the country. Such a letter will confirm that the child is not being abducted or taken against his/her will. The parents’ full name, address and telephone number should be Included in the letter of authorization.

  • When travelling with a group of vehicles, parents or guardians should arrive at the border in the same vehicle as the children.

  • Adults who are not parents or guardians should have written permission from the parents or guardians to supervise the children. The permission letter should include addresses and telephone numbers where the parents or guardian can be reached.

  • CBSA officers watch for missing children, and may ask detailed questions about the children who are travelling with you.

By Ground

There are a number of ways to get to and from Vancouver International Airport. From Vancouver, access to Whistler, which is 120km (75 miles) north on Highway 99, is available by car, scheduled bus, limousine, van, train or chartered helicopter/float plane. The preferred method of transportation getting to and from Whistler is by Bus.
 
Buses:

Long Distance Scheduled Bus:

Whistler is located north of Vancouver, easily accessible by shuttle bus via the magnificent Sea to Sky Highway. Pacific Coach Lines (PCL) has frequent, daily departures from Vancouver International Airport (via YVR Whistler Skylynx) and downtown Vancouver (via Whistler Express), providing direct service to Whistler Village and Creekside with door-to-door service to your Whistler accommodation available. PCL also provides daily return service from Whistler to downtown Vancouver and YVR (Vancouver International Airport). Approximate travel time is 2 1/2 - 2 3/4 hrs. YVR Whistler SkyLynx connects YVR with both Whistler and Squamish along the sea to sky corridor.

The Fairmont Chateau (conference hotel) requires a ticket to Whistler Zone 1 ($63 CAD one way, $126 CAD round trip plus taxes). Please consult the SkyLynx web page for fare changes.

Buses depart from Vancouver airport at 10:00 am, 1:00 pm, 3:00 pm, 5:00 pm and 8:00 pm.
Return departure times are 6:00 am, 9:00 am, 12:30 pm, 3:30 pm, and 7:00 pm.

Arriving from Canada on a domestic flight and need a taxi?
If you have just arrived and are picking up luggage, you are located in the Domestic Terminal Arrivals, Level 2. Simply make your way outside of the terminal on Level 2 to the taxi stand.

Once through the customs and immigration process, you’ll enter the International Arrivals Greeting Area. Walk outside the building on the same level and look for the taxi stand.

How long does it take to drive from Vancouver or Seattle?
Whistler is a scenic two-hour drive from downtown Vancouver; and approximately a 4.5 - 5 hour drive from Seattle.  The Sea to Sky Highway (99 North) is a mountain highway, and a change in the weather can quickly alter road conditions. 


From Vancouver International Airport
(Approximately 3 hours)

  • Follow the signs to Grant McConachie Way, Vancouver and city center.

  • Proceed over the Arthur Laing Bridge.

  • Keep right and follow the signs to Granville Street and city center.

  • Go along Granville Street (approximately 8 km), then over the Granville Bridge.

  • Take the Seymour exit off Granville Bridge.

  • Follow Seymour Street 7 blocks to Georgia and turn left (west).

  • Head west along Georgia Street, approximately 12 blocks to Stanley Park.

  • Go through Stanley Park and onto the Lion's Gate Bridge.

  • As you leave the bridge, follow the signs for West Vancouver.

  • You will find yourself on Marine Drive.

  • At the 1st traffic light turn right onto Taylor Way.

  • At the 2nd traffic light, take the left lane and follow the signs to Horseshoe Bay.

  • At Horseshoe Bay, watch for the exit sign onto Highway 99 North to Squamish and Whistler.

  • Continue north along Highway 99 to Whistler Village.

  • Once you reach the Whistler Valley, proceed through 6 traffic lights and turn right at the 7th traffic light onto Lorimer Road.

  • Almost immediately, you will see The Fairmont Chateau Whistler sign at the foot of Chateau Boulevard (left-hand side).

From Downtown Vancouver

  • Head west along Georgia Street approximately 12 blocks to Stanley Park.

  • Go through Stanley Park and onto the Lions Gate Bridge.

  • As you leave the bridge, follow the signs for West Vancouver.

  • You will find yourself on Marine Drive. At the first traffic light turn right onto Taylor Way.

  • At the second traffic light, take the left lane and follow the signs to Horseshoe Bay.

  • At Horseshoe Bay, watch for the exit sign onto Highway 99 north to Squamish and Whistler.

  • Continue north along Highway 99 to Whistler Village.

  • Follow Interstate 5 north to the Douglas Border Crossing, which in Canada becomes Highway 99, taking you down Oak Street to 41st Avenue.

  • Turn left onto 41st and go approximately 8 blocks to Granville Street.

  • Turn right on Granville and continue over the bridge into downtown Vancouver.

  • Take the Seymour exit off Granville Bridge and follow Seymour Street for 7 blocks to Georgia Street.

  • Turn left onto Georgia and proceed 12 blocks along Georgia Street, through Stanley Park and onto the Lions Gate Bridge.

  • As you leave the bridge, follow the signs for West Vancouver.

  • After crossing into Canada, follow Highway 15 north through Surrey to Highway 1 (Trans-Canada Highway).

  • Exit onto Highway 1 Westbound.

  • Travel west on Highway 1 to Horseshoe Bay.

  • Watch for the exit sign onto Highway 99 north to Squamish and Whistler.

  • Once you reach the Whistler Valley, proceed through the first 6 traffic lights and turn right at the 7th traffic light onto Lorimer Road.

  • Follow Lorimer Road through the traffic light to the Upper Village until you reach the 4-way stop sign at Blackcomb Way.

The mountain (including the Peak to Peak Gondola) is also open for sightseeing from 10:00 - 17:00. You can catch the Peak to Peak Gondola between Whistler and Blackcomb mountains and the Roundhouse and Rendezvous restaurants are open to purchase food and beverages.
The Peak to Peak runs from 10:00 -16:45. *
 
Bear Viewing Tours:
Bear viewing tours which run three times daily at 6:00, 12:00 and 18:00.  
The tours run from 18:00 – 21:00;  if you booked the entire truck (6ppl) you could leave at 18:30, however the tours end at 21:00 because of the lack of daylight. *
