All reservations will be honored 3 days pre and post meeting dates andmust be guaranteed with a major credit card.  A deposit equal to one night’s room and tax is required for each room before the reservation can be processed. Deposits are fully refundable only if reservations are cancelled with Hotel 72 hours before arrival date. In the event of a no show, the hotel will keep the one night’s room deposit, and the room reservation will be cancelled. Modifying your reservation may result in a rate change.

Letters of Invitation

Important information regarding Topical Meeting Visa Invitation Letters (please read):
Meeting attendees do not need to wait until your paper is accepted to request a Visa Invitation Letter.  The visa application process to enter the United States has become subjected to greater degrees of scrutiny than in the past. For this reason, the application process can take up to six months or more. You will need to apply for your visa as early as possible, but no later than three months before you wish to enter the United States. One factor contributing to the increase in the processing time is a personal interview that is now required for most applicants as a standard part of visa processing. Once it is known that a visa is necessary for travel, the individual needs to contact the embassy or consulate to schedule an appointment for screening. OSA is not able to contact U.S. embassies in support of an individual attempting to gain entry into the host country to attend the conference.

Invitation letters take OSA Management 7-10 days to process. Please fill out all the required information on the form completely to the best of your ability. If you are presenting a paper, include the title and session in which the paper will be presented, or if you are exhibiting, please indicate so in your request. Please note that each individual requesting an invitation letter must fill out a separate form. All letters will be sent in PDF form to the email address provided. If a paper letter is required, please respond to the email. Requested paper letters will be sent complimentary through airmail. This option may take a few weeks to arrive. If you wish to expedite the process, letter will be spent through Federal Express with the recipient’s Federal Express account number or credit card number with an expiration date, please also include your billing address in the request email. OSA Management reserves the right to request further information regarding the company or affiliation of the attendee to ensure the validity of requests.

Shuttles from Airport to Hotel

Reagan National Airport (DCA):

  • Complimentary hotel shuttle to and from Hotel and Reagan National Airport (DCA) every (20) thirty minutes between 5:00 -23:00. Pick up and drop off at Terminal A (hotel shuttle area) or Gates 5 and 9 on Level 1 of Terminal B & C.
  • Complimentary hotel shuttle to and from Hotel and Crystal City Metro Station every 20 minutes between 7:00 -23:00. Subway service is not available from Dulles International Airport (IAD).

Dulles International Airport (IAD):

  • The Hotel does not provide shuttle service to Dulles International Airport (IAD). Washington Flyer Coach buses are available from Dulles International Airport to West Falls Church Metro Station and cost USD $10.00 one way and USD $18.00 round trip.
  • Subway service is not available from Dulles International Airport (IAD).

Exit the airport following signs for Alexandria and merge onto US Route 1 South. Turn left at the first traffic light onto 27th Street. Continue through Crystal Drive. The hotel will be on the right.

From Washington Dulles International Airport (IAD)
Take airport Toll Road heading East to Route 66 East to Exit 75 (110 South). Follow to Route 1 South then turn left onto 27th St. Hotel is on the right.
