Submitting to an OSA meeting gives you the added benefit of having your paper peer-reviewed by an expansive committee of experts in the field. If accepted, your paper will be officially published in Optics InfoBase, OSA's Digital Library.

Speaker Ready Room and Onsite Presentation Preparation

Speaker Ready Room, ICM Hall B0
Presenters are required to check in at the Central Speaker Ready Room in ICM, Hall B0 if they have not uploaded their presentations prior to the meeting. If speakers were unable to upload their presentations prior to the conference, the technical staff at the Ready Room will be able to assist them. The presentation system will send the presentations automatically to the session rooms and must be uploaded to the network in advance. Presenters cannot use their own laptops for the presentation. Video is supported.

A satellite speaker check-in station has been established at the Novotel for emergency presentation purposes only. If presenters are unable to upload their presentations prior to the meeting and were unable to visit the Speaker Ready Room in ICM Hall B0, staff will be available at the Novotel to upload presentations or fix technical problems.

Accepted authors have the option of submitting their full manuscript for publication in the SPIE Proceedings.

Proceedings from this conference will be published shortly after the meeting (July 2013) and will also be included in the SPIE Digital Library and OSA Optics InfoBase.Please read details below if you plan to submit to the Proceedings:
  • A full-length manuscript (8-12 pages) for any accepted oral or poster presentation (including keynote, invited and solicited presentations) will be submitted for publication in the SPIE Digital Library, OSA Optics InfoBase,  and the conference CD-ROM.
  • Full-manuscripts will be Chair/Editor-approved and published in the Proceedings of SPIE as well as in SPIE Digital Library and OSA’s Optics InfoBase.
  • Manuscript instructions will be emailed to the contact author for each paper.
  • Authors must be authorized to transfer copyright of the manuscript to SPIE, or provide a suitable publication license. Authors reserve the right to expand and revise the manuscript for future publication.
  • Only papers presented at the conference will be published.
  • Published papers are indexed in leading scientific databases including Astrophysical Data System (ADS), Chemical Abstracts (relevant content), Compendex, CrossRef, Current Contents, DeepDyve, Google Scholar, Inspec, Portico, Scopus, SPIN, and Web of Science Conference Proceedings Citation Index.

  • Online Program Planner - The online program planner allows you to browse speakers and the agenda of sessions. Use the online program planner to build a custom itinerary and print your personal itinerary before coming to the meeting. You can also add your itinerary to your electronic calendar, download it to a personal mobile device or email it to a friend or colleague who might be interested in attending the meeting.

AV Provided for your Presentation

To ensure that the program runs smoothly, all speakers are requested to upload their presentations on the respective session room laptop at least one full coffee break prior to their session.

The meeting rooms will contain the following:

  • Laptop computer with Windows Microsoft OS 7 with Microsoft Office 2010 Professional
  • LCD projector
  • Podium microphone and/or wireless lavalieres
  • Projection pointer

Mac users should bring along a compatible VGA plug or the cable that converts Firewire to VGA which comes with the purchase of the laptop.

Please note that Internet access will not be available during your presentation, and due to licensing restrictions, the use of music in presentations, including video presentations, is prohibited.

  • Bulletin board is 100-cm wide x 150-cm high (3.2 feet x 5 feet) to display a summary of the paper.
  • Authors must remain in the vicinity of the bulletin board for the duration of the session
  • Poster presenters are not supplied with any audiovisual equipment.
  • Information concerning the poster set-up and tear-down times will be included in the notification email to the submitting author.
